What information we collect
The information we collect depends on how you contact us and what you ask us to do. It may include:
- your name, address, email address and phone number
- details of your project: the products you're interested in, approximate measurements, room names, photographs and the address where work may take place
- details needed to prepare an estimate, arrange a showroom visit or survey, and plan delivery, installation and aftercare
- quotations, orders, product and installation records, correspondence, feedback and complaints
- payment information where needed to process an order
- technical information about your visit to our website, such as your IP address, browser, the pages you view and your cookie choices
Please only send photographs relevant to your project. If a photograph shows another person, make sure you are entitled to share it with us.
How and why we use your information
| Why we use it | Lawful basis |
|---|---|
| To answer your enquiry, prepare an estimate, contact you and arrange a survey or showroom visit | Taking steps at your request before entering into a contract |
| To provide a quotation, fulfil an order, arrange delivery and installation, and provide aftercare | Performing our contract with you |
| To keep records of products, measurements, installation, guarantees, service and complaints | Our contract with you, legal obligations, and our legitimate interest in managing our work and resolving issues |
| To take payments and keep business and tax records | Contract and legal obligation |
| To keep our website and forms secure and stop spam and fraud | Our legitimate interest in running a secure business and website |
| To send existing customers occasional information about similar products and services | Our legitimate interest, with a simple opt-out in every message. We only send marketing to anyone else if they've asked us to. |
| To understand how our website is used and measure our advertising | Your consent, given through our cookie banner |
If you don't give us the details we need to prepare an estimate or fulfil an order, we may not be able to provide that service.
We don't make decisions about you based solely on automated processing that have legal or similarly significant effects.
Who we share your information with
We share information only where it's needed to run our business or provide the service you've asked for. The organisations we work with are:
- our surveyors and installation team, to plan and carry out your project
- manufacturers and suppliers, where needed to order your products
- Business Pilot, our customer management system. Enquiries sent through this website create an enquiry record there for our team to action
- Resend, which delivers the emails this website sends, such as your enquiry and our confirmation
- Cloudflare, which hosts this website and provides its security, including the check that stops bots submitting our forms
- Google, for Google Analytics and Google Ads measurement, only if you accept analytics or marketing cookies
- Meta (Facebook and Instagram), for advertising measurement, only if you accept marketing cookies
- CERTASS and TrustMark, where needed for installation registration and accreditation
- professional advisers, insurers, regulators or public authorities where necessary or required by law
We do not sell your personal information, and we do not share it with anyone for their own marketing.
Analytics and advertising
None of the following runs until you choose to allow it in our cookie banner. You can change your mind at any time using "Cookie settings" in the footer of every page. Withdrawing consent stops these tools straight away and deletes the cookies they set.
Google Analytics. If you accept analytics cookies, we use Google Analytics 4 to understand how the site is used: which pages people visit, how they found us and which pages lead to an enquiry. We don't send Google your name, email address, phone number, postcode or anything you type into a form. Analytics data is kept for 14 months.
Google Ads. If you accept marketing cookies, Google Analytics shares conversion information with our Google Ads account so we can see which adverts lead to enquiries.
Meta. If you accept marketing cookies, we use Meta's pixel and Conversions API to measure how well our Facebook and Instagram adverts perform. If you then send us an enquiry, we may send Meta a scrambled (hashed) version of your email address, phone number, name and postcode so it can match your enquiry to an advert. Hashing means Meta can't read the original details unless it already holds them. Meta uses this information under its own responsibilities as a controller; see Meta's privacy policy at facebook.com/privacy/policy.
Where your information is held
Most of our suppliers hold information in the UK or the European Economic Area. Google, Meta, Resend and Cloudflare may process information in the United States. Where information is transferred outside the UK, we rely on appropriate safeguards, such as the UK–US data bridge or the UK International Data Transfer Addendum.
How long we keep your information
- Enquiries that don't lead to an order: 3 years from our last contact with you
- Customer, installation, guarantee and payment records: 7 years after the work is completed, to meet tax and accounting requirements and handle any guarantee claims
- Marketing preferences: until you opt out
After these periods we delete or anonymise the information.
Your rights
You have the right to ask us to:
- give you a copy of your personal information
- correct information that's wrong or incomplete
- delete your information, or restrict how we use it
- stop using your information where you have the right to object, including for marketing at any time
- give you certain information in a portable format
Where we rely on your consent, you can withdraw it at any time. Some rights have legal conditions and exceptions. To make a request, email sales@windowsetc.co.uk. We may ask you to confirm your identity first. We'll respond within one month.
If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Keeping your information secure
We use appropriate measures to protect personal information against loss, misuse and unauthorised access, and only people who need it for their work can see it.

We use cookies and similar technologies to run the site and, with your consent, to measure how it's used and how our advertising performs. Our cookie policy lists each one. Change your choices any time with Cookie settings in the footer.
